What is somewhereto_?

In a city bursting at the seams, somewhereto_ exists to liberate spaces around London for people in creative enterprises to book and make their own.

Run by the socially-minded folk at Brixton youth marketing agency, Livity, we understand the potential of both the spaces and what goes on inside them, meaning we’re uniquely placed to find spaces that fit the bill for a huge assortment of creative needs.

But that’s just one part of the story.

Every time you book a space through somewhereto_, you’re helping a young person pursue their dreams; a portion of the cost of each booking funding the program that finds them free work spaces.

Since 2010 we’ve liberated over £6 million of previously empty or unused space, engaged over 288,000 young people, negotiated over 18,000 direct matches and supported over 4,300 enterprising activities.

 

How does it work?

somewhereto_ is an online platform that connects people with amazing and creative spaces for short term use.

Have a look through our wide variety of event and work spaces to find one that suits your needs. You can browse our spaces by postcode or area, space type, and through one of our curated collections.

Once you’ve registered, you can send your space enquiry and we’ll coordinate your booking with the Spaceholder. When your booking has been approved, just review and pay the booking fee. It’s that simple.

Every time you do this, you help a young person find a free work space in which to pursue their dreams and keep London creative. The fee that we charge a Spaceholder for a successful booking is invested into the programme that finds free space for young people. We don’t charge the user a penny more!

 

Who can use somewhereto_?

somewhereto_ links 16-25 year olds with free local work and creative spaces to do what they love – be it performing, hosting an event, or simply needing desk space to run your business.

For those 26 and older, you can book a space for a fee depending on whether you want to book it by the hour, half day, day, week or month. And if you are 16-25 and cannot find a free space that suits your needs, you can also book one of the paid spaces for a fee.

What kind of space can you help me find?

We work with an growing bank of indoor and outdoor spaces which might be suitable for you. These range from studios and galleries to office spaces, from the corporate to the unusual. Narrow down your search by location, type, eligibility (paid, free or both), and facilities to find something just right for your project or event. We’re here to help you explore all the possibilities, and will work hard to land a space that’s right for you.

Where are spaces available?

We have launched our paid space service in London only, but we have spaces available all over the UK for 16-25 year olds to use for free. Just search by postcode or area to find a local space that suits your needs. There could be a space available near you already. And if there isn’t, then get in touch and we’ll help you find one. We’re regularly adding new ones so keep an eye on our website for updates.

How is all of this possible?

somewhereto_ received a £7m grant from the Big Lottery Fund in 2012 to support its nationwide expansion to 2016, and now we’re continuing to deliver the programme by providing a service to paying customers. somewhereto_ is delivered by Livity, an award winning youth marketing agency with a strong social purpose. Since launching in June 2010, somewhereto_ has unlocked over 100,000’s square foot of space across the UK which was previously empty or underused, the rent value of which, if leveraged, would exceed £6m; negotiated over 18,500 direct matches between spaces and those who need it; engaged with thousands of 16-25 year olds and reached millions through high-profile activity around space.

How do I search for spaces?

There are plenty of ways to search the website for spaces. You can simply enter your postcode or area into the main search bar on the Homepage, or by clicking ‘Find a space’ (located top left of the page.) You’ll then be able to see all our  available spaces, revise your search and filter by space type and facilities.

There are plenty of other ways to find a space based on your needs. On the homepage, you can find all of our spaces available in London for a fee, free and both. 16-25 year olds can also search for free spaces across the UK.

You can also look for spaces fit for a specific purpose be it performance, desk, or event space and filter these based on your location and the facilities you require.

How do I book a space?

Once you’ve found a space that suits your location, purpose and wallet, sign in and make an enquiry by submitting your enquiry form to somewhereto_. We’ll need to know how long you want to book the space for, when you would like your booking to commence, and some information about what you intend to use the space for. Any other information that you might think would make it easier for us to process your booking quicker is greatly appreciated.

When your booking is approved, you will receive an email letting you know that you can now review and pay for your booking.

Your booking is confirmed once the fee has been paid. The quote for your booking will only be live for 24 hours unless otherwise communicated, so you need to make sure you pay within that window or get in touch to ask for an extension. Unfortunately once a quote has expired, we cannot hold the space open for you. Once you have paid, you will receive a confirmation email and your Account Dashboard will be updated.

 

Does it cost me more to book a space with somewhereto_?

No. We don’t charge customers to use our service or add any fees to the overall cost of a booking. Instead, Spaceholders pay a small fee for every successful booking and this is invested into the programme that finds spaces for young people to use for free.

We have amazing spaces, our prices are competitive, you’re contributing to the development of young people and helping to keep London creative. If you need to book a creative space, somewhereto_ really is the only place you should go!

 

How do I know the space is available when I need it?

When you submit an enquiry form, we will check the dates you have provided against the availability of the space with the Spaceholder. We will then let you know once we approve or decline your space enquiry.

We don’t have access to individual Spaceholder’s calendars and so  your chosen space may not be available on the dates and times you have requested. This will most likely be the reason that a space request has been declined. In these cases, you will receive an email letting you know that your enquiry has been declined.  We will then be in touch to help you find an alternative date or space to suit your needs.

 

How long can I book a space for?

Our booking periods can be as short as an hour for a meeting up to monthly contracts for desk space. If you’d like to extend your stay, get in touch with us and we will help you create additional bookings. Please note, not all spaces have the same booking periods, so do check the space profile to make sure this is possible.

 

How long will it take for me to get a response to me space enquiry?

We aim to respond to all straightforward enquiries within 24 hours. If you are a first time somewhereto_ space user, it might take a little bit longer while we gather all of the necessary information from you. We’ll keep you informed on the status of your space enquiry in case we need a little more time to get a decision on your enquiry.

 

How can I book a viewing before paying for the space?

If you would like to book a viewing before committing to a booking, please let us know via the enquiry form in response to the question ‘Any other information?’ Once a space enquiry has been submitted and the Spaceholder has approved your request, we will contact you to arrange the viewing. We’ll try to arrange a time and date that suits you both and extend the time allocated to you to pay to secure your booking. Unfortunately, without the Spaceholder approving your space request, a viewing cannot be booked in. We’ll keep you posted so if you haven’t heard back yet, it’s only because your request is taking a little longer than expected.

How do I pay for my booking?

To complete your payment and secure the space, review your booking on your Account Dashboard and continue to pay. You’ll then be directed to enter your billing details, and click pay. It’s all secure and what you would expect from making any online payment. You’ll then receive confirmation and receipt of your payment via email and the Spaceholder will be notified that the space has been secured. How is the cost broken down?

All of our listing prices show the booking total based on the period of time you are booking and the refundable security deposit amount. The quote you receive when sending your enquiry will be confirmed at the time of your request’s approval. You’ll always be asked to confirm the amount before you pay and there are no hidden charges.

When do I know if my booking has been confirmed?

Your booking is confirmed when the booking fee has been paid by you. You will receive a confirmation email and find an update in your Account Dashboard.

 

How long will it take for my security deposit to be refunded?

As soon as the Spaceholder has confirmed that you have left their space in the same condition as when you entered it your deposit will be refunded. This should take up to 14 days. If the Spaceholder believes that damage has been caused to the space, we’ll contact you. If you agree with the assessment, the security deposit will be paid in full or in part to the Spaceholder and the remaining amount will be refunded according to the payment terms above (14 days). Any disputes on security deposit will be held in accordance to the dispute resolution procedure in the Licence Terms. We will hold on to the deposit until the dispute has been resolved.

 

Where can I get the invoice for my payment?

Once you have made the payment, you will receive an email with a confirmation of your payment and the booking fee breakdown.

 

What is the license, Licence terms and where can I access it?

The License is the agreement between the Space User (you) and the Spaceholder under which you are granted a right to occupy the space for the licence period, upon the Licence Terms. The Licence Terms are the terms upon which the right to occupy the space is licenced from the Spaceholder and you, a copy of this is available here.

 

What is the difference between license and space rules?

To ensure the process of renting a space is as easy as possible, your right to use the space will be subject to the terms and conditions contained in the Licence Terms. If the space has it’s own Space Rules that conflict with the Licence Terms, the Licence Terms will override the Space Rules. By paying for your booking, you confirm that you agree to the Licence Terms.

 

Do I need insurance?

We recommend that you obtain the appropriate insurance for your personal property, general liability insurance and other appropriate insurance from a reputable insurance provider. somewhereto_ are not an insurer and cannot advise on which insurance is most suitable for your use of the space.

 

When can I gain access to the space?

Your access to the space starts on the date of your booking at your booked time (for hourly or half day sessions). Please follow the procedure to access the space as outlined in the Space Rules section of the space profile.

Spaces bookable by the hour tend to be booked out back to back. You’ll need to  include time to set-up and clean up when considering the period of time you are booking.

 

What alterations can I make to the space during the time of usage and are there any limits to what I can do in the space?

For most spaces, make sure you check the Space Rules or get in touch with our team and we’ll look into it for you. In any case, you’ll need to return the space to the condition you rented it in.

 

What happens when a Space User cancels a booking?

You can cancel your booking directly from your Account Dashboard. somewhereto_ operates a tiered cancellation policy. The specific amount withheld if you cancel is dictated by the Spaceholder and then fit into one of the cancellation policies below unless otherwise stated on the space listing:

  • Strict – no refund can be given to customers, regardless of the amount of notice given
  • Moderate – 50% up until 2 weeks before.
  • Flexible­ – Full refund up until 2 weeks before event.

Cancellation requests need to be approved by somewhereto_ before being finalised. We will assess the time of cancellation against the policy and contact the customer with next steps and alternative dates if requested. When a cancellation has been confirmed, you and  the Spaceholder will be contacted with confirmation of the cancellation for your records.

 

What if the Spaceholder cancels my booking?

We will communicate the cancellation and issue your full refund including security deposit.

If you are a first time somewhereto_ space user, it might take a little bit longer while we verify your age and gather all of the necessary information from you. We’ll keep you informed on the status of your space enquiry in case we need a little more time to get a decision on your enquiry.

 

Why do I have to have my age verified before I can make a booking?

Free space is only available for people aged between 16-25 so we need to ensure our new customers are  eligible for this service. If you are an existing free user and are between the ages of 16-25, you will not be asked to verify your age.

 

What will the age verification process be like?

When we receive a new free booking enquiry, we will contact you via the phone number you supply at registration and talk you through the verification process to confirm you are happy sharing your personal details with us. If you are happy to proceed, we will use a platform called LexusNexus to check your date of birth using your name and postcode. If you are under 18, we will need your driver’s licence, passport, or National Insurance Number. Please have one of these documents available to provide us with the number. The process should take a couple of minutes and you will not be asked to verify your age again.

 

How can I keep track of my booking?

When do I know if my booking has been confirmed?

How can I demonstrate the skills I’ve gained?

After you’ve successfully used a space, you will receive a certificate to help you show off this achievement. You can even go on to gain our digital badge as further evidence of your accomplishments.

What are digital badges?

Once you’ve successfully used a somewhereto_ space, you can apply for our digital badge. It’s a great way to showcase your talents and skills online. Badges hold information about your project and can be used on your digital CV, LinkedIn page or anywhere else where you want to demonstrate your skills.

 

I AM A SPACEHOLDER

How do I list a space?

You register your interest to list a space on the somewhereto_ website here. A member of the team will be in touch to find out about your space and send over an information pack with listing, payment and legal information. We will then create a listing on your behalf using the information you supply to us. We might amend your copy to match the somewhereto_ branding, but we will never change the details of your space. We will always get your sign off on the listing before your space is added to our website.

 

What information do I need to provide to list my space?

All of the information required to list your space will be covered in the information pack we will send to you via email. It will include a description of the space, images, its size and its facilities, address, description of the current use of the space and any other occupants, availability dates and times, capacity, booking fee (ex. VAT), deposit, cancellation policy, and any restrictions.

 

How does the pricing work?

To fulfill our mission to keep London creative, we will take 10% of the total booking fee (inc. VAT). This commission is non-refundable.

Security deposits are taken as part of the total payment in order to confirm a space booking. There is no commission on a security deposit. It will be held by us until you have confirmed that it can be returned to the Space User.

 

What if I want my space taken down from the website?

If you want to have your space taken down from the somewhereto_ website, all you have to do is ask. Email us via info@somewhereto.com. You are not tied to keeping your space listed for any minimum period. A member of our team will then be in touch and discuss any outstanding payments and cancellations to ensure we have closed everything off neatly.

What happens when a Space User cancels a booking?

somewhereto_ operates a tiered cancellation policy, giving you the flexibility your space needs – similar models are used by many other space-letting organisations. You can choose either Strict, Moderate or Flexible cancellation policies. The specific amount withheld if a user cancels is dictated by the you and then fit into one of the cancellation policies below:

  • Strict – no refund can be given to customers, regardless of the amount of notice given
  • Moderate – 50% up until 2 weeks before.
  • Flexible­ – Full refund up until 2 weeks before event.

What if I want to cancel a booking?

If you need to cancel a booking for whatever reason, get in touch with us via email at info@somewhereto.com. We will then communicate the cancellation to the Space User and issue their full refund including security deposit.  We will then invoice you for our 10% commission for all bookings cancelled.

 

Who manages the bookings made?

somewhereto_ manage getting booking enquiries agreed with you, booking confirmations and booking cancellations according to the Licence Terms. In all other circumstances, you are responsible for ensuring that the booking is as advertised and that an assessment of the space takes place if a security deposit is to be refunded. For additional information please see our Terms and Conditions.

 

Who is the license agreement between?

The Licence agreement are between you and the Space User. somewhereto_ are not a real estate agent, broker or insurer and we do not offer real estate agency, brokerage or insurance services. We provide an online platform for you and Space Users to advertise and rent spaces. The licence agreement comes into effect when the Space User has paid for the space booking.

 

What if there are damages to my space?

As part of the Licence agreement, the Space User agrees to be responsible for the condition they, their occupants, those they invite or any other individuals they give access to the space to. If they fail to leave the space in the condition that it was when they arrived or damage is caused to the space, they will be responsible to pay for any cleaning, repairs or replacement required to get the space back in the condition it was before they arrived. You will need to provide a quote for the damages which will be agreed to by the Space User and paid out of the total Security Deposit. Any dispute will be handled between you and the Space User and will be determined in accordance with the dispute resolution procedure in the Licence Terms. somewhereto_ will hold on to the deposit during this time until a resolution has been met and will pay it out accordingly.
