How To: Put On An Event

Planning a party? A festival? An exhibition? Follow our easy steps to grab a free event space and put on an event that will be the talk of the town!

  1. Fix your date

    Have a main date you want to go for but have two back up dates you’re ok with, just in case the initial one doesn’t pull through.

  2. Book in the big stuff

  3. Think backwards

    The thing about events is that they’re time locked. Everything leads up to that moment. So the easiest way to attack the situation is to think backwards. Get yourself a spreadsheet, diary, or calendar and plan a timeline of the event’s main elements. You want to ensure that as much as possible is organised to allow for those last minute unplanned tasks. 

  4. Count your pennies

    Get three quotes for everything. Shop around and negotiate best prices. If you’re doing something as a social enterprise or charity then tell them and ask if they might do a discount. Worst they can say is no!

  5. Turn to your gospel

    Ok.. we’re not talking about a holy one this time but it might feel like it when you need it. It can be a call sheet, a run sheet, a full throttle production pack. Have a folder that you can keep all your receipts, invoices, schedules and important documents in, like insurance and risk assessments. Have a sheet of paper with important phone numbers of your team and contractors so that if you need to call them you (and all your team) have all the details they need when you’re at the venue.
